On 25 October 2026, the Federal Tax Authority put out a clear reminder: e-invoicing deadlines are real, and missing one costs AED 5,000 for every month you’re late.
That message was aimed at large companies first. But if your business earns less than AED 50 million a year, you’re next. You must appoint an Accredited Service Provider by 31 March 2027. That’s about five months away.
Five months sounds like plenty. It isn’t, if your books are messy. In our experience, the hard part of e-invoicing is rarely the software. It’s the customer data, VAT codes and credit notes already sitting in your accounts.
Your deadlines at a glance
| Your annual revenue | Appoint an Accredited Service Provider by | Start issuing e-invoices by |
|---|---|---|
| AED 50 million or more | 30 October 2026 | 1 January 2027 |
| Under AED 50 million | 31 March 2027 | 1 July 2027 |
Sales to consumers (B2C) aren’t covered yet. If you invoice other businesses or government bodies in the UAE, assume you’re in scope until your accountant tells you otherwise.
Two changes from October help a little. Invoices between companies in the same VAT group are excluded for 24 months from 1 January 2027. And you can now store e-invoice data outside the UAE, as long as the FTA can get it when it asks. We cover both in our post on the October 2026 e-invoicing changes.
What actually changes for a small business
Right now, you probably create an invoice in your software, save it as a PDF and email it. From July 2027, that PDF won’t be your tax invoice for sales to other businesses.
Instead, your accounting system sends the invoice as structured data to your Accredited Service Provider. The provider checks it, passes it to your customer’s provider, and reports the details to the FTA. Invoices from your suppliers will reach you the same way.
You can still email a PDF copy. But the data file is what counts. If a TRN is wrong or a required field is empty, the provider can reject the invoice, and you’ll have to fix it and send it again.
Six things to fix in your books now
1. Clean up your customer list
Every business customer needs their exact legal name, address and TRN as registered with the FTA. One wrong digit and the invoice bounces. Pull a list of everyone you invoiced this year and check each TRN with the free verification tool on the FTA website. Merge duplicates while you’re at it.
2. Get the VAT treatment right on every line
Each invoice line needs the correct treatment: standard-rated, zero-rated, exempt or out of scope. If your team picks the VAT code by habit, fix it now. Set the right code on each product or service in your software so nobody has to choose.
3. Tidy up your list of products and services
Use clear names and units. Lines like “misc charges” or “services as discussed” will cause trouble. Keep a short, clean list of what you actually sell.
4. Link every credit note to its invoice
Credit notes go through the system too, and a late or missing one carries its own fine. Each credit note should quote the original invoice number. If you adjust customer balances with journal entries instead of proper credit notes, stop now.
5. Ask your software provider three questions
Does it connect to an accredited provider? What does that cost? How long does set-up take? If you still invoice from Excel or Word, you’ll need proper accounting software first. If you use Zoho Books, our Zoho team can help you set it up.
6. Plan for invoices coming in, not just going out
Your suppliers’ e-invoices will arrive through the system as well. Decide who checks them, who approves them and how they reach your books. This also helps with the supplier checks the FTA now expects before you claim input VAT.
A simple plan from now to July 2027
| When | What to do |
|---|---|
| November 2026 | Check customer TRNs and clean up your customer list. Fix VAT codes on your products and services. |
| December 2026 | Ask your software provider about e-invoicing. Shortlist two or three accredited providers and compare prices. |
| January 2027 | Pick your provider and sign the contract. Close your 2026 books properly. |
| February 2027 | Connect your software, then send test invoices and credit notes. Train whoever raises invoices. |
| March 2027 | Complete the appointment steps on EmaraTax well before 31 March. Don’t leave it to the last week. |
| April to June 2027 | Practise with real invoices and fix any rejections. |
| 1 July 2027 | Go live. |
If your books are already in good shape, you’ll get through this faster. If they’re behind, start with a bookkeeping catch-up. Our bookkeeping team does this every week for UAE businesses.
What being late costs
The fines come from Cabinet Decision No. 106 of 2025.
| What goes wrong | Fine |
|---|---|
| You don’t appoint a provider or go live on time | AED 5,000 for each month, or part of a month |
| An e-invoice isn’t issued or sent on time | AED 100 per invoice, up to AED 5,000 a month |
| An e-credit note isn’t issued or sent on time | AED 100 per credit note, up to AED 5,000 a month |
| You don’t tell your provider about a change to your FTA details in time | AED 1,000 per day |
So a small business that appoints its provider three months late pays AED 15,000 before a single invoice goes wrong.
One piece of good news: the October 2026 changes removed the rule that made businesses report system failures to the FTA within two business days.
Frequently asked questions
When is the e-invoicing deadline for SMEs in the UAE?
If your revenue is under AED 50 million, appoint an Accredited Service Provider by 31 March 2027 and start issuing e-invoices by 1 July 2027.
What is the e-invoicing penalty in the UAE?
AED 5,000 a month for not appointing a provider or not going live on time. Late e-invoices and credit notes cost AED 100 each, up to AED 5,000 a month for each.
Do I need e-invoicing if I only sell to consumers?
Not for now. The current phase covers invoices to businesses and government bodies.
Can I keep emailing PDF invoices?
You can still send a PDF copy. But once you go live, the e-invoice sent through your provider is the one that counts.
What is an Accredited Service Provider?
A company approved by the Ministry of Finance to send and receive your e-invoices and report them to the FTA. You can’t connect to the system yourself.
Can my accountant handle e-invoicing for me?
Your accountant can clean up your data, set up your software and help you pick a provider. The appointment itself is made in your company’s name on EmaraTax.
Start with your books, not the software
Plenty of businesses will leave this until February or March. The ones that go live without trouble will be the ones whose customer data, VAT codes and credit notes were sorted out first.
